visionevents: the home of live roadshow production
To follow on from our recent blog advising on top tips for roadshow event production, here, we focus on a real life roadshow and the complex Project and Logistic management which encompasses these style of events. By partnering with visionevents, these often daunting events can be simplified by using a highly experienced company to help, guide and advise you every step of the way.
Roadshows can be quite last minute due to the nature of immediate and important company information sharing, and this event series was no different. During this summer, visionevents had just one month to pull together a 25 venue roadshow that spanned a 5 week event period. Short lead in times like this really highlights our fantastic team, their team work and our project management procedures; the organisation was dealt with methodically and meticulously so that all aspects were covered, whilst staying true to the client’s objectives and goals to ensure all messages were kept on brand.
Iain Pugh, one of our esteemed Project Directors, headed the visionevents team as account manager and project manager liaising with the client throughout. Supported by our long serving and super talented logistics team to iron out all the detail for these multiple, simultaneous and important events: Emma McIntyre, Production Manager; Debbie Laird, Logistics Manager and Karen Lonie, Production Supervisor.
Having been with us for a combined total of nearly 30 years, the logistics team have developed, nurtured and secured our incredibly strong management procedures to ensure all the equipment, branding, crew (and other essentials!) are where they need to be, when they need to be. This may sound simple enough to the untrained ear, but in reality is no mean feet with roadshow style events as each one is different to some extent: audience size; kit and crew requirements; transport logistics; branding requirements; venue logistics; multiple and simultaneous locations in UK/Europe to name a few!
Without our fabulous team and our solid systems, these events just simply wouldn’t happen.
- Venues: 25, in various locations over the UK
- Time scale: 5 weeks during summer, 2017
- VE Crew: 3 teams of 2, rotating to cover all locations
- VE Crew away nights: 43 nights combined total during the 5 weeks
- Overall Audience Size: 3,407 – split between 25 events (some larger audience sizes than others)
- One stage set designed to adapt to all venues (altered to suit audience size and internal venue infrastructure)
- Number of presentations: 10 live and 2 video presentations per event
- Number of presenters: average 8 keynote presenters per day, plus 2 video
